1. Acceptance of Terms

By accessing or using the ClinicFlow website (clinicflow.lk) or purchasing a ClinicFlow software license, you agree to be bound by these Terms and Conditions. If you do not agree to these Terms, please do not use our website or purchase our products.

These Terms apply to all visitors, users, and purchasers of ClinicFlow products and services.

2. Description of Services

ClinicFlow provides:

• A self-hosted clinic management software system for single-doctor clinics.
• Deployment and setup services for purchased software licenses.
• Technical support and software updates as described in the Software License Agreement.
• This corporate website for product information and demo requests.

3. Use of the Website

3.1 Permitted Use

You may use our website to learn about ClinicFlow products, submit demo requests, and make purchases. You agree to use the website only for lawful purposes and in accordance with these Terms.

3.2 Prohibited Use

You agree NOT to:

• Use the website in any way that violates applicable laws or regulations.
• Attempt to gain unauthorized access to any part of the website or its servers.
• Transmit any unsolicited commercial communications (spam).
• Introduce viruses, trojans, worms, or other malicious material.

4. Intellectual Property

All content on the ClinicFlow website, including text, graphics, logos, images, and software, is the property of ClinicFlow and is protected by Sri Lankan and international intellectual property laws. You may not reproduce, distribute, or create derivative works without our express written permission.

5. Software License

The purchase of a ClinicFlow software license is governed by the separate Software License Agreement. Key terms include:

• One-time license fee — no recurring charges.
• Single-clinic use — one license per clinic.
• Non-transferable — the license cannot be sold or given to another party.
• One year of free updates and email support included.

6. Custom Development & Additional Features

The standard ClinicFlow license includes only the features described on our website at the time of purchase. Any additional development work requested by the client is subject to the following terms:

• All custom feature requests, modifications, or integrations not included in the standard package will be separately scoped and quoted.
• A written quotation will be provided and must be approved by the client before any custom development commences.
• Custom development is invoiced separately from the software license fee.
• Payment terms for custom development will be specified in the individual project quotation.
• Custom features developed for one client remain the intellectual property of ClinicFlow unless otherwise agreed in writing.
• Timeline estimates for custom development are provided in good faith but are not guaranteed unless explicitly stated in a written agreement.

7. Payment Terms

• All prices are quoted at time of purchase.
• Payment must be made in full before deployment commences.
• All sales are final. Refunds are not available once deployment has commenced.

8. Demo Environment

ClinicFlow provides a demo environment at app.clinicflow.lk for prospective clients. The demo environment:

• Contains fictitious sample data only — no real patient information.
• Is provided "as is" for evaluation purposes.
• May be reset or modified at any time without notice.
• Should not be used to store any real personal or medical information.

9. Medical Disclaimer

ClinicFlow is a practice management software tool only. It is NOT a medical device and is NOT intended to provide medical advice, diagnosis, or treatment recommendations. Clinical decisions must always be made by qualified healthcare professionals.

10. Limitation of Liability

TO THE FULLEST EXTENT PERMITTED BY LAW, CLINICFLOW AND ITS DEVELOPER SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF THE WEBSITE OR SOFTWARE, INCLUDING BUT NOT LIMITED TO LOSS OF DATA, LOSS OF REVENUE, OR INTERRUPTION OF BUSINESS. Our total liability shall not exceed the amount paid by you for the relevant software license.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka. Any disputes shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.

12. Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting to the website. Your continued use of the website after changes constitutes acceptance of the new Terms.
